We are a fast-growing, multi-entity business group based in Chicago, spanning real estate development, property management, brokerage, and general contracting. Our CEO leads multiple companies, manages national partnerships, and balances a demanding schedule. To support her effectiveness, we are hiring a Virtual Personal Assistant (VPA) to provide digital and lifestyle support that complements the work of her Executive Assistant (EA) and House Manager.
Role Overview:
The Virtual Personal Assistant will handle a variety of personal, administrative, and lifestyle-related tasks that can be managed remotely. This role is designed to protect the CEO’s time and energy by ensuring personal and digital details are handled seamlessly. The VPA will collaborate with the EA (business support) and House Manager (household operations) to create a strong support system around the CEO.
Responsibilities
Scheduling & Calendar Support
Manage non-business/personal appointments (doctors, wellness, family, social).
Coordinate seamlessly with the EA to avoid scheduling conflicts.
Travel & Lifestyle Management
Book flights, hotels, and cars for personal trips.
Research and secure restaurant reservations, entertainment, and experiences.
Personal Errands (Virtual)
Online ordering for gifts, flowers, personal shopping, and subscriptions.
Manage recurring personal accounts and memberships.
Research & Coordination
Compare service providers, vacation options, wellness programs, schools, etc.
Organize details for personal events and holidays (invitations, RSVPs, catering quotes).
Documentation & Overflow Support
Track personal expenses and create light reports.
Format documents, keep digital files organized, assist with light admin projects.
Qualifications
Proven experience as a Personal Assistant, Virtual Assistant, or in a similar support role.
Excellent organizational and multitasking skills.
Tech-savvy: comfortable with Google Workspace, MS Office, and scheduling apps.
Strong communication skills, proactive and detail-oriented.
Ability to work independently with discretion, handling sensitive information confidentially.
Compensation
Hourly range depending on experience.
Part-time to start (10–20 hours per week), with potential to expand as needed.
