Work Hours:

  • Your work hours will be four (4) hours per day, scheduled anytime between 8:00 AM and 5:00 PM Central Standard Time (CST), which is 10:00 PM and 7:00 AM Philippine Standard Time (PST) during the months when Chicago observes CST.
  • When Chicago shifts to Central Daylight Time (CDT), your work hours will remain four (4) hours per day, scheduled anytime between 8:00 AM and 5:00 PM CDT, which is 9:00 PM and 6:00 AM PST.
  • Please note that your schedule may still be subject to change at the discretion of your supervisor or the CEO.

 

Overview
KBM Realty, a mission-driven and women-owned brokerage firm, is seeking a qualified and experienced Transaction Coordinator to oversee daily operations, support agents, and ensure full compliance with state regulations.

This role also includes oversight of accounting and financial transactions to maintain operational integrity and transparency. The ideal candidate has a strong track record in real estate sales and team leadership, coupled with attention to detail in compliance, finance, and office systems.


Key Responsibilities

  1. Leadership & Team Oversight

    • Recruit, train, supervise, and retain licensed real estate agents

    • Establish performance benchmarks and manage accountability

    • Foster a collaborative, inclusive, and results-oriented work culture

  2. Compliance & Legal Oversight

    • Ensure firm-wide compliance with all state and federal real estate laws

    • Maintain Managing Broker license and oversee agent licensing status

    • Oversee transaction files and contract review for legal accuracy and completeness

  3. Operations & Business Development

    • Implement strategies to drive new listings, client engagement, and market share

    • Oversee listing agreements, disclosures, purchase contracts, and MLS compliance

    • Support business development efforts and coordinate marketing efforts with the administrative team

  4. Accounting & Financial Management

    • Maintain accurate financial records for brokerage transactions and agent commission disbursements

    • Oversee trust account reconciliation, deposits, and commission tracking

    • Coordinate closely with internal and external accountants/bookkeepers

    • Ensure timely submission of financial reports, including monthly transaction summaries

  5. Client & Community Engagement

    • Serve as an escalation point for complex client issues or disputes

    • Represent KBM Realty at industry and community events

    • Uphold and promote the firm’s mission and values across all relationships


Qualifications

  • License in Brokerage/Real Estate

  • 5+ years of experience in real estate sales and office leadership

  • Working knowledge of real estate accounting and transaction management systems

  • Strong organizational, compliance, and communication skills

  • Demonstrated ability to mentor, motivate, and grow a team

  • Proficient in CRM systems, MLS, and digital office tools (e.g., Dotloop, QuickBooks, etc.)


Preferred Experience

  • Experience with boutique or mission-driven brokerage models

  • Familiarity with community development, affordable housing, or investor relations

  • Prior experience in financial reporting or accounting coordination
